The Terms and Conditions outlined on this page represent the general terms and conditions for Sun Coaching.

When you embark on a coaching relationship with me, I will send you a copy of personalised terms and conditions in your coaching agreement for us both to sign.

The terms outlined in signed coaching agreements override those written here.

1)     Description of Coaching

Coaching is a thinking partnership between Coach and Client in a creative process that inspires the Client to maximise their personal and professional potential. It is designed to facilitate the creation of personal or professional goals and to develop and implement a strategy/plan for achieving those goals. 

2)     Commitment to Coaching Relationship

The Coach commits to:

  • provide an honest, non-judgemental, and supportive service to the Client at all times

  • maintain the ethics and standards of behaviour established by the International Coach Federation “(ICF)” of which the Coach is a member coachfederation.org/ethics

  • manage the boundaries of the coaching relationship

The Client commits to:

  • communicate honestly and take responsibility for creating and implementing their own decisions, choices, actions, and results

  • review the ICF Code of Ethics and applicable standards of behaviour coachfederation.org/ethics

  • create the time and energy to participate fully in the program

Coach and Client commit to

  • adhere to the coaching agreement

  • be open and honest about what works or doesn’t work in the relationship and seek appropriate solutions

  • evaluate the coaching process and progress against goals

3)     Coaching Boundaries

Coaching is not psychological counselling or any type of psychotherapy, nor can it substitute professional legal, medical, or financial advice. The Client is responsible for their own physical, mental, and emotional well-being.

If the Client is currently under the care of a mental health professional, it is recommended that the Client inform the care provider of the nature and extent of the coaching relationship agreed upon by the Client and the Coach. 

4)     Confidentiality

This coaching relationship, as well as all information (documented or verbal) that the Client shares with the Coach as part of this relationship, is bound by the principles of confidentiality outlined in the ICF Code of Ethics.

The Coach will not divulge that the Coach and Client are in a coaching relationship without express consent of the Client.

The Client is of course free to discuss the coaching relationship with anyone at any time.

5)     Privacy and Release of Information

The Coach is committed to protecting the Client’s privacy. Client information will not be disclosed, sold or traded to any outside parties with the following exception:

  • The ICF (International Coach Federation) credentialing process requires the names and contact information of all Clients for the sole purpose of possible verification by ICF. No personal notes will be shared.

  • According to the ICF Code of Ethics, topics may be anonymously and hypothetically shared with other coaching professionals for training, supervision, mentoring, evaluation, and for coach professional development and/or consultation purposes.

The Client has the right to be informed about how personal information is being used, to access the personal information held about the Client and to ask that personal information be corrected, updated or deleted. The Client may exercise their rights of access, rectification, cancellation and opposition by contacting the Coach by email at anita@suncoaching.com.au with the subject 'PRIVACY'.

6)     Record Keeping and Retention

The Coach will keep Client personal information such as contact details for as long as is needed to be able to provide the services agreed upon, or for as long as is necessary to provide additional support.

If necessary or required to meet legal or regulatory requirements, resolve disputes, or prevent fraud and abuse, the Coach may also keep hold of some Client information as required, even after it is no longer needed to provide the agreed services.

Records are primarily retained in digital format. Electronic records are always stored in a secure, password protected location.

The Coach will not retain any credit card details. The retention of credit card information may, on occasion, be administered through a merchant payment organisation, according to their own record keeping policy. Details of such arrangements can be requested.

The coaching relationship is not privileged and, as such, the Coach’s records regarding work with a Client can be subject to a subpoena.

7)     Technology (for Online Coaching)

The Coach will use Zoom for virtual Coaching sessions. It is recommended you install Zoom onto your device prior to the first session, have tested your microphone and camera, and arranged comfortable seating that allows the camera to view you. If downloads aren’t possible, Zoom can also run from a compatible browser.

The Coach will send a link prior to the session, with this the Client will enter a virtual “waiting room” and at the appointed time the meeting will be opened.

If technical difficulties where the sound is unreliable occur, phones may be used as an alternative audio device. Please have your phone nearby and charged but switched to silent as the session begins. 

8)     Schedule and Fees

Introductory sessions are provided free of charge.

Session fees are payable in advance or immediately following the appointment.

Coaching sessions shall be 60/90 minutes in length to be held on a weekly / fortnightly/as agreed basis.

9)     Recording

To support ongoing professional development, the Coach may from time-to-time video or audio record sessions. Use of the audio/video recordings in whole or part is strictly limited to the following reasons:

  1. self-analysis by the Coach to support professional development and client care; and,

  2. use by a Coaching Supervisor for the purpose of professional development and continual improvement.

Digital video/audio files will be stored securely with the utmost commitment to privacy and data protection. Recordings are generally erased immediately after viewing. All recordings will be erased at the end of the coaching relationship unless additional consent is requested.

10) Cancellation Policy

It is the Client's responsibility to notify the Coach 12 hours in advance of the scheduled calls/meetings. Coach reserves the right to bill Client for a missed meeting. Coach will attempt in good faith to reschedule the missed meeting.

11) Termination

Either the Client or the Coach may terminate their Agreement at any time with 1 week’s written notice. Client agrees to compensate the Coach for all coaching services rendered through and including the effective date of termination of the coaching relationship.

Currency of Material

The material is current only at the time it is placed on this website. Sun Coaching is under no obligation to update the material or correct any inaccuracy which may become apparent at a later time.

Copyright in Material

Unless expressly stated to the contrary, Sun Coaching owns copyright in all material.

Virus Warning

Sun Coaching does not represent or warrant that any files or software obtained from or through this site are free from computer viruses or defects. To the extent permitted by law, Sun Coaching excludes all liability for any loss or damage (including consequential loss) in relation to any use of such files or software.
